Job Title: Reception/Admin Assistant

Hours: 21 hours per week

Rate of Pay: £12.60 per hour

Must be available to work set hours (Tues – Thurs, 9am–5pm).

Contract: Fixed-Term Contract – ending 31st December 2025 (extension subject to funding)

About the Role

We are seeking a reliable and professional Reception/Admin Assistant to support the delivery of key services such as employability, welfare rights, and community-based programs. This vital front-facing role will ensure the smooth running of reception and administrative functions across our sites.

As the first point of contact for many visitors and callers, you’ll provide a welcoming and efficient service, helping people access support, book appointments, and find the right information.

Key Responsibilities

Reception & Administration

  • Greet visitors and manage reception duties in a professional and friendly manner.

  • Answer incoming calls and manage general enquiries by phone, email, and in person.

  • Support weekly drop-in sessions and community courses by handling sign-ins and materials.

  • Book appointments for staff-led services, including employability and welfare rights support.

  • Maintain accurate records of appointments, attendance, and referrals.

  • Manage general administrative tasks including photocopying, filing, and handling mail.

Person Specification

Experience and Knowledge

  • Previous experience in a receptionist or admin support role (preferred).

  • Comfortable working with the public and supporting a diverse range of service users.

  • Knowledge of local support services or community projects is an advantage.

Facility Support

  • Be a designated key holder, responsible for opening and securing the building when needed.

  • Monitor and report any issues with facilities or supplies.

  • Assist in the preparation of meeting rooms and event spaces as required.
